How we use personal information and how to contact us about your data.
Who is responsible for your information?
Process Measurement & Analysis Limited (PMA) is responsible for the personal information collected through pma.uk.com and our website enquiries. We are registered in England and Wales under company number 01015471. Our registered office is Brook Mills House, Carr Lane, Slaithwaite, Huddersfield, HD7 5BG, United Kingdom.
For privacy questions or to exercise your data protection rights, email privacy@pma.uk.com, telephone 01484 843 708, or write to us at the address above.
This notice explains how we handle website and enquiry information under UK data protection law, including the UK GDPR and Data Protection Act 2018, as amended. Visiting this website does not mean that you consent to every use of your information.
Information we collect
Our enquiry form asks for your name, email address, telephone number, company, town or city, subject, site application and message. We also receive information you choose to send by email, telephone or other correspondence. Please include only the personal information needed for your enquiry.
Our website and its security services process technical information such as IP addresses, browser details, requested pages and request times. If you accept optional Google Analytics, it also collects information about your visit and interactions. The cookies and browser storage involved are explained in our Cookie Policy.
You can browse our public pages without completing an enquiry form. The form identifies the details needed to submit it; without enough contact and application information, we may be unable to respond to your request.
Why we use your information
- Enquiries, quotations and support: to respond to you, understand your application and arrange products or services. Where you are entering a contract with us personally, this may be necessary to take steps at your request or perform that contract. For business contacts and general enquiries, we rely on our legitimate interest in handling correspondence and providing our services.
- Website operation and security: to deliver pages, maintain the website and reduce spam and abuse, relying on our legitimate interest in protecting our services and their users.
- Optional Google Analytics: to understand use of the website and improve it, based on your choice to accept analytics.
- Legal requirements: to meet applicable record-keeping obligations or respond to a lawful request where this is necessary.
Submitting a website enquiry does not add you to a marketing database. We use the information to respond to you and deal with your request. Any separate marketing subscription must be considered separately from an enquiry.
Services that help us operate the website
Authorised PMA staff handle enquiries. Our website stores form submissions in WordPress and sends enquiry notifications through SMTP2GO. Hosting, email and IT service providers process information needed to deliver those services.
Cloudflare provides website delivery and security services. Our enquiry form uses Cloudflare Turnstile to check for automated abuse and is configured to use Akismet spam checking. These checks can process information about the request, the device and, for spam checking, the submitted enquiry. See the Turnstile Privacy Addendum and Automattic privacy notice for provider information.
Google Analytics is optional. Cloudflare also provides a separate performance-measurement service. Weglot supports translated versions of the website. These services process the technical information needed for their functions. An external website you choose to visit has its own privacy arrangements.
We may disclose information where required by law or where necessary to establish, exercise or defend legal claims.
Storage, international services and security
The website’s hosting server is in London. This does not mean that every service involved processes information only in the UK: email, security, analytics and translation providers operate internationally and may process information in other countries.
The relevant providers describe their processing locations and transfer arrangements in their privacy and data-processing terms. These can include adequacy arrangements and contractual safeguards. Contact us if you need information about the arrangements applicable to your data; we do not treat your use of the website as consent to an international transfer.
The website uses HTTPS to protect information in transit. Access to stored enquiries is controlled through website and email accounts. No internet service can guarantee absolute security, so please do not include passwords, payment-card details or unnecessary sensitive information in an enquiry.
How long information is kept
We keep enquiry and correspondence information for as long as it is needed to deal with the request and any related supply or support. Retention depends on whether the enquiry leads to an ongoing customer relationship, the need to keep an accurate record of advice or work, and any applicable legal, accounting or claims requirements.
Technical records and provider-held data have separate operational retention arrangements. Our analytics-choice record and Google Analytics cookies are configured for up to 180 days; a cookie’s lifetime is not the same as the retention of an enquiry or an analytics report. You can ask us about retention of a particular record or request its deletion using the contact details above.
Your rights and choices
Depending on the circumstances, you may request access to your personal information, correction of inaccurate information, deletion, restriction of use or a portable copy. Where processing relies on consent, you can withdraw it without affecting the lawfulness of processing before withdrawal.
You have the right to object to processing based on legitimate interests, and to object to use of your information for direct marketing. Contact us to explain your request. These rights are subject to the conditions and exceptions in data protection law.
We may need to confirm your identity before releasing or changing personal information. Requests are normally free of charge; any permitted fee or refusal must meet the legal conditions. We will explain any applicable exception or extension when responding.
To change Google Analytics consent, open Cookie settings and choose Reject analytics. If analytics was already active in the current page, reload it after changing your choice. This removes accessible analytics cookies and prevents analytics loading on subsequent pages while your rejection is stored.
Questions, complaints and updates
Please contact privacy@pma.uk.com if you have a concern. You can also raise a complaint with the Information Commissioner’s Office, the UK data protection regulator. You do not have to contact us before contacting the ICO.
We update this notice when our website practices or the information we need to provide changes. The version and date above identify the current published wording.
